Your information and how it is used 

Intertwined collects only the relevant information about service users, to help plan and deliver tailored sessions in order to ensure individual’s needs are met accordingly. We ensure that any data held will be kept secure and confidential to the best of our ability. 

We will only use information collected lawfully in accordance with the General Data Protection Regulation (GDPR) and any future UK Data Protection legislation. Information which we hold will not be used for any other purpose than that of which it was collected for, unless your consent has been obtained.

Information Collected

We collect information about service users and their support needs, information which we need to know in order to create safe and effective sessions. This information may be recorded in writing initially but will be kept electronically and procedures have been put in place to safeguard and secure the information we collect. 

 The type of information we will collect:

·       Personal information (such as names, addresses, email addresses, contact numbers of service users and/or parent/carer/guardians/colleges/schools/centres) where appropriate. 

·       Assessed support needs of service users.

·       Other relevant information about service users, helpful when planning and delivering sessions about behaviours, likes, dislikes etc.

Why we collect this information

We use your personal information for the following purposes: 

·       To keep you informed and updated about sessions, any changes, or additional important information. 

·       Contact details for emergency situations. 

·       Safeguarding and promoting the welfare of service users.

·       To maintain our own accounts and records 

Sharing of information

Information will not be shared with any other parties unless it is an emergency or safeguarding situation whereby details may be shared with the relevant authorities in order to ensure service users safety at all times. We will not disclose your information to other third parties without your permission unless the law requires or allows information to be passed on, or there are exceptional circumstances such as the health and safety or another person is at risk. 

Occasions when we must pass on information 

• To help prevent, detect and/or prosecute serious crime 

In all cases where we must pass on information, we will only share the minimum amount of information required and where possible, data will be anonymised. Anyone who receives information from us also has a legal duty to keep it secure and confidential. 

Requesting access to your personal data 

You can find out if we hold any personal information about you by making an access request under the Data Protection Act. 

If we do hold information about you, we will: 

·       Give you a description of it 

·       Tell you why we are holding it 

·       Tell you who it could be shared with 

·       Provide you with a copy of the information 

You also have the right to request the rectification or erasure of your personal data, and to object to, or request restriction of, processing your data.
